By using our website, applying to a job, posting a job, booking a consultation, or otherwise interacting with our services, you consent to the practices described here.

We collect three categories of information:

  • Information you provide — name, email, phone, address, resume, work history, photos, signatures, payroll details, and other information you submit through forms, applications, or consultations.
  • Information we collect automatically— IP address, browser type, device identifiers, pages visited, and interactions with the Service. This is collected via cookies and similar technologies (see “Cookies” below).
  • Information from third parties — when you sign in with Google or GitHub, we receive your name, email, and profile picture from those providers.

How we use your information

We use the information we collect to:

  • Operate, maintain, and improve the Service.
  • Process job applications and connect job seekers with employers.
  • Schedule and deliver paid or free consultations.
  • Send transactional emails (account, security, payment, application updates).
  • Send job notifications when you opt in via the newsletter.
  • Personalise content and recommend relevant jobs or resources.
  • Detect, prevent, and address fraud, abuse, and security incidents.
  • Comply with legal obligations.

How we share information

We do not sell your personal information. We share it only in the following circumstances:

  • With employers — when you apply to a job, your application details are shared with the posting employer.
  • With service providers — payment processors, email delivery, cloud hosting, analytics, and similar vendors bound by confidentiality obligations.
  • With legal authorities — when required by law, subpoena, or to protect rights, property, or safety.
  • In a business transfer — if Express HR is involved in a merger, acquisition, or sale of assets, your information may be part of the transferred assets.

Cookies & tracking

We use cookies and similar technologies to keep you signed in, remember your preferences, measure usage, and improve the Service. You can control cookies via your browser settings. Disabling essential cookies may impact site functionality.

We may also use analytics tools (such as anonymised page-view counters) to understand which pages are most useful. These tools do not have access to your account or personal information.

How we protect your data

We use industry-standard practices to safeguard your information, including:

  • HTTPS/TLS encryption for all data in transit.
  • Encryption at rest for sensitive fields where appropriate.

No system is 100% secure. We will notify affected users without undue delay if a breach occurs that may impact their personal information.

Data retention

We keep your data only for as long as necessary to provide the Service or to satisfy legal, accounting, or reporting requirements.

  • Account data — for the lifetime of your account plus a short grace period after deletion to handle disputes.
  • Application data — typically retained by the employer who received it; you may request deletion at any time.
  • Payment records— retained as required by tax and accounting regulations (typically 6–7 years).

Your rights & choices

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.
  • Correct or update inaccurate information.
  • Delete your account and personal data (subject to legal exceptions).
  • Withdraw consent for marketing communications at any time.
  • Request portability of your information.
  • Lodge a complaint with your local data protection authority.

Section 09

International data transfers

Express HR is based in Canada and uses service providers that may be located in Canada, the United States, the European Union, and other regions. By using the Service, you consent to your information being processed in these regions, subject to appropriate safeguards (such as standard contractual clauses) where required by law.

Section 10

Children's privacy

Express HR is not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at privacy@expresshr.com and we will delete it.

Third-party services

The Service may contain links to third-party websites (e.g. Calendly for scheduling, Stripe / LemonSqueezy for payments). These third-party services have their own privacy policies, and Express HR is not responsible for their content or practices. We encourage you to review their policies before sharing information with them.
